Booking Terms & Conditions, Kindly take time to read through our booking conditions before confirming your booking with us, this is to serve according to your interests. We strongly recommend that you read all the information relating to your travel to ensure that you clearly get to understand any trip requirement that you will be undertaking with us. By your confirmation with us, we assume you have read and agreed to these terms where YOU and yours shall be anyone named the booking, substituted or added on the later date. WE and US shall mean Early trails expeditions.
By booking with us you agree to the terms and conditions stipulated here under and you agree that you will have no claim or demands from us, its owner or any person acting on our behalf except provided here within.
PANDEMIC TRAVEL
In response to the pandemic we have made some change to how we operate. Most countries in Africa have fully opened to welcomed visitor without strict restrictions as long as you don’t heave Covid 19 symptoms and signs. We take safety as the top most priority for our guests by following the government directives to ensure we minimize risk, Uganda is among countries where all restrictions lifted with the positivity rate being 1%. Request you to kindly wear your mask at all time to minimize the risk as we shall not liable when you contract Covid 19 while with us. We shall hold or refund your monies paid to us as credit if you extend or cancel your trip due to COVID -19 or any other reason.
YOUR BOOKING ARRANGEMENT.
Early trails expedition is a licensed tour and travel agent registered to operate with in East Africa as an intermediary, We partner insurance company, banks, government institutions for our client’s protection and safety while with us. All our calculations done in UNITED STATED DOLLAHS currency, we convert all the monies to USD rate depending on the rate provided by the Bank in the destination which you want to make a trip.
We guarantee not change our prices once the client confirms however, the price will change if the client request more days, inclusion of activities or any special requested from us. We shall accept all liabilities that may arise as a result of our negligence and NOT to any person acting our behalf.
ACCOMODATION
Accommodation in Uganda varies from suits, luxury and standard rooms lodges, resorts, cottages, motel etc. keeping in mind that we live in the world of insects sometimes it becomes inevitable for some accommodations to control insect s depending on the season and by no means treated as a sign of dirtiness. Lodge in conservation areas don’t fumigate to kill but instead to chase away. All rooms fitted with mosquito nets to save you from mosquitoes or any nocturnal insects.
Uganda is still a developing country and many infrastructures including roads, hotel and lodge still undergoing constructions, accommodation facilities continue to improve in their facilities. As early trails expedition we have no control over their work, sometimes this may cause an inconvenience like delays to reach your destination however our guides will always do their best to get to your destination safely.
CHECK IN AND CHECK OUT
Most accommodation are available for check in by 1400hrs and checking out is is between 0600 – 1000hrs. However this adjusted by informing the accommodation management. Some lodges charge late check out depending on the season or it may be free.
FLIGHTS
We can book you a flight weather domestic or international flight to all destinations. We partner with different service provider whose policies differ this doesn’t mean that we accept liabilities from them by their acts. Our domestic flights scheduled on different days of the week unlike international flights. We will advise you on which flight is available as per your plan or request. Booking Terms & Conditions, Some flights may delay without notice however we will always let you know in case of an advance notice if you booked with us.
Their shall be NO refund from the hotels, guest house, villa, lodge, for unused accommodation that did not come 14 days before the departure date. All our service providers have different operational policies subjected to.
We shall reconfirm your in and out bound flight tickets for you before departure. However you will need to do so if you did not book with us your flight to avoid inconveniences.
PRICING AND SURCHARGE
We reserve the right to make adjustments to the website advertised price at any time before your holiday is confirmed with us. Our trip prices subjected to variables and season pricing which is a standard practice in the travel industry. Sometimes our trips vary at any time in accordance with the demand, market conditions and availability hence different passage changed differently. After you trip confirmation we send you quotation that will require you to confirm with us indicated in booking policy (4) and this will lock your trip cost once payment is made before the expiry date as indicated on the quotation. Will refund and any reduced price that may be available after you have booked and made payments.
We guarantee not to impose any surcharge on you unless it due to force majeure events. A surcharge or refund payable if our costs increase or decrease as a result of market conditions, airfare, local operation costs, transportation costs (e.g. fuel, scheduled airfares and any other airline surcharges which are part of the contract between airlines (and their agents) and the tour operator) or dues, taxes or fees payable for services such as landing taxes, special requests or embarkation or disembarkation fees at airports increasing or our costs increase or decrease as a result of any changes in the exchange rates which have been used to calculate the cost of your holiday.
We will confirm any surcharge payable at least four weeks prior to you trip commencement save for surcharge that are due force majeure.
(1) BOOKING WITH US
We save you the hustle and bustle by choosing the best accommodation comprising of budget, midrange and super luxury lodge and suitable activities that will create a Zen moment, our activates include wildlife experiences, adventure trip and adrenaline activities. By booking with us we guarantee flexibility in responding to all your questions without hesitation.
(2) PAYMENT POLICY
For trips in which the total cost is less than $2000 you required to pay full amount your confirmation. If the confirmation is made with in eight weeks we require a higher deposit which will be advised the time of confirmation and issuing an invoice. This will apply on trips which include Gorilla and Chimpanzee trekking or habituation. This could be form certain booking terms for our suppliers. In order to secure your activities we may invoice you for full payment.
We may charge you a 2-5% on credit card payment method. Booking Terms & Conditions, We shall issue a final invoice for full amount of any balance eight days before you date of departure. We kindly request you to contact us immediately if any information provided to you doesn’t seem clear, incorrect or incomplete. We regret that we shall not accept any liability from any notice received weeks from the date of issue.
(3) REFUND POLICY/Booking Terms & Conditions
After you trip confirmation, you required to pay/ deposit 30% person of the total cost of the trip which is non-refundable or required to make full payment depending on the time you are booking with us as indicated in (1).
Early trails expedition partners with other service provider with different booking policies. Booking Terms & Conditions, We don’t not hold our clients’ money/ funds. In case of any refund required from our suppliers subjected to their policies/rules and fees. Some accommodations, Uganda wildlife authority and other service provider are extremely slow with refunds or sometimes they avoid refund entirely and only ask us to wait until they find a source of funds or extend when we shall use a service.
(I)Why non-refundable.
For each trip you confirm with us/ buy from us you pay we make tentative bookings with our partners in tourism who we pay to act on our behalf subject to their policies. Booking Terms & Conditions, Our services at the moment id to provide transport services but we don’t separate the charges, however you have a right to ask a trip break down.
When you activity or accommodation not available at the requested time, we will book you in another lodge with the same class and this will be done after notifying you. In possibilities that we are hired to only provide transport and guiding service, we will assign you a professional person for guidance and consultation advise if you seek for it however, we shall not responsible not any short coming from a service provider where you booked by yourself.
(III)What delays the refund?
Some service provider receives a lot of money from different tour agents or persons. Some money used in preparation and purchases in preparation to your stay with them. The circumstances of refund delay sometimes depend on season and the time of booking.
(4) Cancelling your vacation, trip, holiday
You may cancel your trip any time however If you or anyone on your holiday confirmed booking decides to cancel the holiday, trip or safari, we must be notified of the decision in writing before departure but this does not guarantee or mean a total refund. Booking Terms & Conditions, The cancellation will take effect from the day the written confirmation is received by wilderness vacation safaris.
If you wish to cancel your booking to take advantage of a cheaper price, full cancellation policy will apply. Please note that some holiday, safari or vacations bookings are subject to a 100% cancellation fee
The following scale of charges payable depending upon when the notification of cancellation is received by wilderness vacation safaris.
25% non -refundable on trips whose total cost is beyond $2000.
30% non – refundable on trip whose total cost is equal to or less than $2000
60 – 40 days 45% of total holiday, trip or vacation cost.
41 – 28 days 55% of total holiday, trip or vacation cost
27 – 12 days, 75% of total holiday cost
Less than 12 days, 85% of total holiday, trip, cost.
(5)When do we cancel your trip?
We deserve aright not confirm or cancel any trip at any time if:
– If the intended activity puts your life in danger (may led to your death)
– In case of insecurity in an area that you wish to visit.
– The person booking with us fails to comply by our payment policy (2).
-The person booking with us fails to clear his outstanding balance without written notice. In such situation we shall refer to (3).
– We may cancel if it the government warns us to such places on terrorism, political instability or natural disaster.
– Rarely does this happen, we may be forced to cancel your trip by FORCE MAJEURE before or after your departure date. This is extremely unlikely but if this situation occurs we regret we will not be able to make any refund unless we shall notify our suppliers.
FLIGHT CANCELLATION
In circumstances that you have cancelled your inter-flight Uganda, Kenya or Tanzania, You will receive a full refund received from our partner service provides subjected to cost incurred by us while making your flight reservation.
OBLIGATIONS/Booking Terms & Conditions
Your obligation to us,
-To provide us with adequate information required by us in arranging your safari.
– Provide us with all medical information if you need any special request or consideration
-You must arrive at stated time in your itinerary (ies), Booking Terms & Conditions, and confirm your travel plan before departure. We accept no liability whatsoever to you for your failure to do so.
-To take travel insurance suitable and adequate for your particular need on your safari such as natural disaster, force majeure, pandemics, and cancellation.
-All communities have standard acceptable behavior of which visitor must abide. We shall not be liable to any fine that comes as a result of your misconduct, loss or damage. We reserve a right to cancel your trip for your safety or company reputation.
Our commitment /obligation to you
We agree that will be providing services directly by us or through service providers contracted on our behalf. We agree to prepare, provide services with high degree of professionalism with reasonable skills and great customer experience.
Booking Terms & Conditions, We will not be responsible for any injury, illness, death, loss of property, damage or loss in whatsoever that may arise due to the action or negligence.
We shall not accept any responsibility for any service(s) which do not form part of our contract. This includes optional activities or any additional services which lodge, hotel, resort or any other person agrees to provide you where the service is not mentioned in the itinerary.
Jurisdiction/Booking Terms & Conditions
The agreement governed by English law and be subject to the exclusive jurisdiction of the English courts in Uganda.
